TIP: Council Organizational Subscription Upgrade - Fellow
Abstract
This proposal evaluates the organizational costs and efficiencies of adopting Fellow as a meeting intelligence, documentation, and workflow coordination platform for the Telcoin Association Councils.
Fellow provides structured agendas, AI-generated recaps, action item tracking, searchable meeting records, and workflow integrations that improve governance continuity, contributor coordination, and institutional knowledge capture. It also creates a reusable information layer that can be integrated into the Association’s broader communications and AI systems.
The proposed model is intentionally cost-minimized, requiring only one paid solo seat for Association use. This seat would be used to record meetings, generate recaps, distribute outputs, and manage workflow integrations. This avoids the unnecessary expense of providing paid access to every council participant while still allowing the Association to capture and operationalize meeting outputs centrally.
Other association members may continue to use free access where suitable, while the TAO maintains only a single paid administrative seat for centralized operational use.
Fellow pricing is currently $19 per month for a Solo subscription, with an advertised 34% cost saving when billed annually. This proposal therefore recommends annual billing as the most efficient cost structure.
To ensure long-term efficiency and avoid repetitive administrative processes, this proposal also establishes a standing framework for annual renewals:
Annual costs will remain covered under general operational expenses provided they do not increase beyond a 15% inflationary variance, year-on-year.
At the time of drafting, non-profit pricing eligibility may be available and should be pursued if applicable, which may reduce the baseline costings presented in this proposal.
This proposal will be funded via Platform Council safe under the TIP General Improvements: General purpose improvements, To be included in yearly budget and cancellable via TIP.
Motivation
The Association’s councils manage strategic, treasury, governance, operational, and technical oversight. While meetings are central to decision-making and coordination, much of the information generated during those meetings is currently difficult to standardize, archive, and reuse effectively.
Current pain points:
-
No unified system for structured agendas, AI recaps, action items, and searchable meeting history.
-
Important governance and contributor context often remains fragmented across calls, notes, Slack messages, and personal memory.
-
Meeting outcomes are not always translated efficiently into follow-up workflows or external communications.
-
Growing complexity with increasing proposal volume, contributor coordination, and governance activity.
Fellow addresses these issues directly:
-
Meeting Intelligence: AI-generated recaps, summaries, and action item capture.
-
Governance Continuity: Searchable historical records of meetings, agendas, and decisions.
-
Operational Efficiency: Standardized recurring meeting templates and clearer follow-up ownership.
-
AI Workflow Value: Meeting outputs can feed directly into the Association’s broader internal AI systems and content workflows.
This improves internal clarity, reduces operational fragmentation, and creates a stronger internal information loop at minimal recurring cost.
Specification
Option 1: Monthly Billing — Fellow Solo (1 Seat)
Annual Cost (1 seat): $228
- Fellow Solo: $19 Ă— 12 = $228
Features: AI meeting notes, action items, meeting agendas, searchable meeting records, recurring templates, integrations, and workflow support.
Best Fit: Flexible month-to-month access with no annual commitment.
Option 2: Annual Billing — Fellow Solo (1 Seat)
Annual Cost (1 seat): ~$150.48
-
Fellow Solo Annual Equivalent: $19 Ă— 12 = $228
-
34% annual billing savings: $77.52
-
Estimated annual billed total: $150.48
Features: Same functionality as monthly billing, with materially lower annual cost.
Best Fit: Most cost-efficient structure for long-term Association use.
Rationale
Monthly ($228):
Low-cost entry point for immediate operational use with full flexibility.
Annual (~$150.48):
Most efficient option, reducing recurring cost while maintaining full functionality. Given the intended use case is ongoing governance and operational support, annual billing is the more practical and treasury-efficient structure.
Cost-Saving Structure
The rationale for this proposal is not broad platform rollout. It is centralized operational utility at the lowest possible cost.
Only one paid solo seat is required because the Association primarily needs one operational admin layer to:
-
record meetings (current recordings are unavailable after 14 days)
-
generate summaries and recaps
-
distribute outputs (automate distribution to slack, trello, marketing AI)
-
manage workflows
-
support downstream integrations
This is significantly more cost-efficient than purchasing paid access for every council participant.
Other association members may still use free accounts within the association workspace independently if they wish to record or organize their own meetings, meaning the Association benefits from a structured central workflow without taking on unnecessary recurring multiple seat costs. A single seat would provide these benefits for recurring meetings. The host of the meeting would ideally be the paid seat, as their fellow AI automatically joins regardless of if they are present or not.
Strategic AI and Workflow Value
A key strategic benefit of this subscription is the ability to feed meeting recaps, action items, and governance summaries into the Association’s internal marketing and communications AI systems.
This creates a stronger internal feedback loop by allowing structured meeting outputs to support:
-
marketing AI context
-
governance update drafting
-
proposal summary generation
-
Council recap content
-
operational memory and continuity
-
historical discussion retrieval
This makes Fellow more than a note-taking tool. It becomes a low-cost operational intelligence layer.
Future Costs:
Approval of this proposal establishes the costs as part of ongoing operational expenses. To avoid repeated proposals, renewals will proceed under the following framework:
- A 15% annual inflationary variance is permitted before requiring further council approval.
This approach future-proofs council operations while maintaining cost discipline.
Implementation
Timeline: 1-2 weeks, depending on setup and workflow integration complexity.
Phase 1 (Week 1):
Set up the Fellow workspace(already complete), create recurring council meeting templates, and establish baseline agenda / recap structure for Association use.
Phase 2 (Weeks 1–2):
Configure workflows for AI recaps, searchable meeting archives, action item tracking, and internal summary formatting.
Phase 3 (Weeks 2–3):
Deploy practical workflow integrations and downstream usage including:
-
Slack: recap and action item distribution to internal channels - currently must manually push to slack
-
Discord: optional sanitized summary outputs for contributor/community visibility where appropriate - would automate recap posting to public channels for public meetings only
-
X / Communications workflow: structured recap extraction for governance updates, meeting reminders, proposal summaries, and public-facing content support
-
Internal AI systems: ingestion of meeting summaries and decisions into marketing / communications support workflows
This model allows the Association to extract operational value from a single seat without requiring full platform rollout.
Conclusion
Adopting Fellow provides the Telcoin Association with an affordable, scalable, and highly efficient governance support platform for meetings, documentation, continuity, and workflow integration.
-
Unified organizational visibility across council discussions, decisions, and action items.
-
Improved governance continuity through searchable recaps and structured meeting history.
-
Better contributor coordination and internal follow-through.
-
Stronger AI and communication workflows through reusable meeting intelligence.
-
Future-proof budgeting through the approved 15% annual variance.
With costs of $228 annually on monthly billing or approximately $150.48 annually when billed upfront, this proposal offers meaningful operational leverage with negligible treasury impact.
Recommendation:
Approve this proposal as a standing operational cost, with annual billing as the preferred cost structure, and automatic renewal unless annual cost increases exceed a 15% variance.
